Every attendee must comply with the

Anti-harassment policy 

The Independent Press Award and BookCAMP by Printed Word Reviews is committed to ensuring a safe and welcoming environment for all participants at all IPA activities, meetings, and networking events. We expect all participants at IPA activities, meetings, and networking events to abide by this Anti-Harassment Policy in all venues, including ancillary events and official and unofficial social gatherings.
 
  • Exercise consideration and respect in your speech and actions.
  • Refrain from demeaning, discriminatory, harassing, or threatening behavior and speech.
  • Be mindful of your surroundings and of your fellow participants.
  • Alert community leaders if you notice a dangerous situation, someone in distress, or violations of the Anti-Harassment Policy, even if they seem inconsequential.
 
Unacceptable behaviors include:
 
  • Intimidating, harassing, abusive, discriminatory, derogatory, or demeaning speech or actions by any participant in any IPA meeting or networking event, at all related events, and in one-on-one communications carried out in the context of any IPA meeting or networking event. IPA event venues may be shared with members of the public; please be respectful to all patrons of these locations;
  • Harmful or prejudicial verbal or written comments or visual images related to gender, sexual orientation, ethnicity, race, religion, disability, age, appearance, or other personal characteristics;
  • Inappropriate use of nudity and/or sexual images in public spaces (including presentation slides);
  • Deliberate intimidation, stalking, or following;
  • Harassing photography or recording;
  • Sustained disruption of talks or other events;
  • Unwelcome and uninvited attention or contact;
  • Physical assault (including unwelcome touch or groping);
  • Real or implied threat of physical harm;
  • Real or implied threat of professional or financial damage or harm;
  • Real or implied offer of work in exchange for sexual favors. 
 
IF YOU ARE BEING HARASSED, NOTICE THAT SOMEONE ELSE IS BEING HARASSED, OR HAVE ANY OTHER CONCERNS, PLEASE CONTACT A MEMBER OF THE IPA STAFF IMMEDIATELY. 
 
During a live event, staff can be identified by name badges and found at the registration table. During a virtual event, staff can be reached by emailing Ted@PrintedWordReviews or Gabby@IndependentPressAward.com All reports are confidential.
 
Consequences of Unacceptable Behavior
Unacceptable behavior from any participant at an IPA meeting or networking event, including anyone within IPA with decision-making authority, will not be tolerated.
 
If a participant engages in unacceptable behavior, the IPA leadership will take any action they deem appropriate, including removal from the IPA meeting or event (without refund) at which the harassment occurred. Egregious violations will result in more severe sanctions.

Terms of Sponsorship Conference Sponsorship and Exhibit Agreement

This Conference Sponsorship and Exhibit Agreement (“Agreement”) is entered into between “Sponsor” and BookCAMP magazine by Printed Word Reviews, with its principal place of business at 63 Clinton Rd, Glen Ridge, NJ 07028 (“BookCAMP” and together with Sponsor, the “Parties”, and each a “Party”). This Agreement becomes effective only upon the full execution of the signed Agreement by the Parties (the date of full execution of this Agreement is referred to herein as the “Effective Date”).

1. Exhibit Hall Assignment

Any exhibit hall assignment shall be determined by BookCAMP. The space is for Sponsor’s use only, and Sponsor may not assign or sublease any portion without BookCAMP's consent.

2. Cancellation / Refund Policy

In the event of a cancellation, Sponsor must provide written notice to BookCAMP. Sponsor will forfeit 50% of the cost of sponsorship and all sponsorship benefits if cancellation notification is received prior to January 1, 2025. From January 1, 2025 to up to ninety (90) days before the event, Sponsor will forfeit 80% of the cost of sponsorship and all sponsorship benefits. Sponsor will forfeit 100% of the total cost and all sponsorship benefits if notification is received within ninety days of the event.

3. Payment Terms

Sponsor agrees to pay the total contract price within 30 days of invoice date.

4. Exhibit Installation and Security

Sponsor shall display equipment at own risk, and shall have sole responsibility for any loss of its equipment or proprietary information. 

5. Special Services

For insurance, safety, and security purposes, all cleaning, catering, shipping, and other special services (e.g. electricity, AV equipment, etc.) needed by individual Sponsors are provided only when the Sponsor orders these services through the venue and pays for them separately.

6. Show Regulations

It is agreed that BookCAMP shall have exclusive power in the matter of interpretation, amendment, and enforcement of all regulations that appear in this contract. All rules are subject to change in accordance with Fire Marshal regulations. Sponsor must comply with all the laws, regulations, and ordinances in force in the venue.

7. Selling Policy

Sponsors are allowed to sell products at their table at the event, but are required to comply with New Jersey state sales tax law. Sponsor is solely responsible for obtaining any tax identification numbers necessary and paying all tax.

8. Audio and Noise Levels

Sponsors doing live demos must be considerate of the surrounding exhibitors and keep their audio volume at a level that does not impede the function, or demos, of surrounding exhibitors. Demos that are found to be objectionably loud in audio volume, in BookCAMP's sole judgment, will first be issued a warning. If the initial warning is not adhered to, and the audio volume is not adjusted appropriately, BookCAMP may shut down the demo without a refund or any other type of compensation.

9. Liability

BookCAMP will not be liable for any failure to perform its obligations under this contract as a result of acts of nature, acts of terrorism, acts of God, or any other causes that shall make it impossible or inadvisable to hold the event, or portion thereof, at the time and place herein provided.

10. Responsibility

Sponsor shall be fully responsible to pay for any and all damages to property owned by the venue, its owners or managers, which result from any act or omission by Sponsor. Sponsor agrees to hold harmless the venue, its owners, managers, officers and directors, agents, employees, subsidiaries and affiliates, from any damages or charges resulting from Sponsor’s use of the property. Sponsor’s liability shall include all losses, costs, damages, or expenses arising from, out of, or by reason of any accident or bodily injury or other occurrences to any person or persons, including the Sponsor, its agents, employees, and business invitees which arise from or out of the Sponsor’s occupancy and use of the exhibition premises, or any part thereof.

11. Indemnity

Sponsor agrees to protect, defend, indemnify, and hold harmless BookCAMP and the venue and their respective shareholders, partners, officers, representatives, agents, and employees from and against any and all losses, penalties, damages, settlement costs, charges, professional fees, or any other expenses or liabilities arising directly or indirectly out of this Agreement and its performance thereof.

12. Governing Law

This Agreement shall be governed by and construed in accordance with the laws of the State of New Jersey.

IN WITNESS WHEREOF, the parties hereto have executed this Agreement.
